Job Description

Document Controller make sure that the documents of an organization are properly stored and easily accessible. Coordinating document management activities, developing and implementing procedures, and ensuring documents reach the right members of the staff. Required skills include accuracy, organizational abilities, time management, and computer competencies. Besides these skills, it is important that document controller possess the following capabilities:

 

  • Introduce Aconex or equal system to relevant parties.
  • Monitor and report upload status
  • Administrate system stably to liaise with system developer
  • Empower authority as per user grade
  • Control correspondence to identify the related person to get timely response and writing for the purpose of avoiding being in predicament.
  • Produce and distribute correspondence between each party.
  • Control RFI, REA correspondence
  • Control Filing and sorting documentation
  • Control tracking the documentation 
  • Maintain communication protocol.
  • Develop minutes of meetings.
  • Prepare regular reports, presentations, etc. including concerning workshops for various projects
  • Act as a liaison with SC, HR, Finance, travel and other departments on behalf of projects and facilities department.
  • Facilitate interim progress payments to all stakeholders
